Salary: $55,000–$65,000 (depending on experience)

We are currently expanding across Canada and internationally, and we are seeking a Finance & Operations Coordinator who can play a central role in supporting our day-to-day operations and financial systems. This role is ideal for someone who thrives on precision, organization, and wants to help build something that matters.
Key Responsibilities:
Finance & Bookkeeping:
Support the finance team with basic administrative tasks such as invoice processing, expense tracking, and documentation
Assist with preparing materials for monthly financial reports and funder communications
Maintain organized records related to payables, receivables, and vendor contracts in coordination with our bookkeeping team
Support monthly payroll and staff benefits administration, working closely with the CEO and our external bookkeeper
Serve as a liaison between internal teams and external financial/accounting partners to ensure smooth information flow
Operational Administration:
Coordinate vendor and contractor payments, service contracts, and insurance renewals
Maintain digital and physical filing systems (e.g., SharePoint, OneDrive, CRM)
Manage general office administration, supplies, and Calgary office coordination
Support systems documentation and process improvements
Executive Support:
Help coordinate schedules, logistics, and communications for executive team as needed
Support internal team coordination and leadership planning cycles
Track and follow up on key CEO priorities, ensuring timely progress on strategic tasks, meetings, and communications across the organization
Qualifications:
3+ years experience in bookkeeping, financial admin, or operations (non-profit experience is a plus)
Proficiency in QuickBooks, Microsoft 365, and general tech tools (CRM experience an asset)
Highly organized, detail-oriented, and reliable under pressure
Strong written and verbal communication skills
A proactive team player who enjoys improving systems and solving problems
